Information processed
Onzaris may process account information, contact details, sport roles, schedules, attendance, certifications, uploaded documents, communications and payment records required by the organization. For a sports registration, the safety profile may contain insurance/health-card details and expiry, an emergency contact, and health or medication declarations. This profile is encrypted and restricted to the member concerned and authorized administrators. In a private conversation, a person may choose to send a photo, video, file or voice message to authorized team members. Card data is processed by the payment provider and is not stored in Onzaris.
Use
This information is used to authenticate people, apply permissions, administer competitions, communicate changes, produce sport documents and provide requested support. Photos, videos, files and voice messages are transmitted only after an explicit action and are limited to the chosen conversation. Push notifications use a device token to deliver enabled alerts; they can be disabled in the app settings. Onzaris does not sell personal information.
Hosting
Onzaris and its database are hosted in Canada, with Amazon Web Services (Canada Central region). The payment provider and the email provider may process some information outside Canada, only to collect a payment or deliver a message.
Networks and federations
A club, school or league can join the network of a federation or governing body through a link, with explicit consent. The network then sees its teams, games, registration counts and compliance. It never sees a person’s email, phone, birth date or medical data, nor a child’s profile.
Canada Soccer national registry
For soccer, an organization can register its players with the Canada Soccer national registry (NSR) from Onzaris, after granting access. The information this registry requires (legal name, gender, date and place of birth, citizenship, address and contact details) is entered once, encrypted in Onzaris and sent to Canada Soccer, which processes it under its own policy.
Assistants and suggestions
An authorized person can connect their own ChatGPT or Claude assistant to Onzaris. The assistant then reaches the organization’s data according to that person’s permissions; birth dates, requester emails, safety profiles and payment identifiers stay on Onzaris. What the assistant receives is governed by its provider’s terms. Plans proposed by Onzaris require human validation before they are applied, and member contact details and names tied to discipline cases are not sent to artificial intelligence providers.
Providers and retention
Hosting, secure storage, email and payment providers process only the information strictly required for service delivery. Retention periods are configured according to the organization’s obligations and applicable legal requirements. Onzaris uses protected sessions, organization-scoped controls, authenticated downloads and an audit log for sensitive operations.
Access, correction and deletion
A person may request access, correction or applicable deletion of their information through their organization. Administrators can send a deregistration request for their club, league or federation from their workspace; Onzaris then reviews teams, payments and retention obligations before any closure.
